Best Work Order and Time Tracking Software for Construction (2026)

For a construction company that wants to replace paper work orders and hours in Excel, there are five packages worth a look in 2026: Simple-Simon, OutSmart, Teamleader Focus, TimeChimp and GeoDynamics. None of the five is "the best", and each of the five does something well. Which one fits depends on one question: how far does your work order process deviate from the average? Below, the five side by side on six criteria, with their pricing model, and when you are better off having something custom built.

What is a digital work order, and what is time tracking software?

A digital work order records on site what has been done: work carried out, materials used, photos, comments, and the customer's signature on the screen. The order goes straight to the office, where the same data feeds the invoice. Nobody retypes anything.

A time tracking app records how much time each employee spends per site, project or task, via smartphone, badge or vehicle. Approved hours flow through to the social secretariat (payroll provider), the accounting or the post-calculation.

Some packages do both, others only one of the two. That is the first thing to check: do you want hours, work orders, or both in one app?

What did we compare on?

Six criteria, each for a reason you will recognise on a Belgian building site:

  • Offline operation. In a basement or on a new-build site there is no signal. The app has to store data locally and sync later.
  • Digital signature. The customer signs on the spot, with a timestamp, so the discussion about extra work does not start three weeks later.
  • Mobile usability. Entering hours, materials and photos in thirty seconds, with work gloves on.
  • Integrations. With your accounting (Exact Online, Yuki, Octopus, Billit), your ERP (Robaws, Bouwsoft) and your social secretariat. Every missing integration means double entry.
  • Pricing model. How the vendor charges: per user, flat rate, paid extras or on request. Amounts change, so it is best to check them yourself on the vendor's site.
  • Implementation. How much configuration and training is needed before your crew works with it.

Simple-Simon

Suits small contractors and installers with one to twenty technicians who prepare work orders at the office and have them filled in on location. A Dutch company from Eindhoven, with a Belgian country version.

What it does. Planning board, work order app, time tracking, material registration with barcodes, photos and a digital signature on the technician's screen. Works fully offline and syncs as soon as there is internet again.

Pros: everything in one flat rate, no contract, cancellable monthly, first work order in five minutes. Integrations with Exact Online, Moneybird, AFAS and, according to the site, dozens of other accounting packages. Cons: the work order structure is standardised. Custom approval steps or forms per project type mean checking in advance how much configuration is possible. The accounting integration is free in the first year and paid after that. Belgian social secretariats are not mentioned.

Pricing model: one flat rate per user per month, cancellable monthly. Fourteen-day free trial.

OutSmart

Suits installation and service companies with field staff. Dutch, part of Visma, with, according to the site, more than 5,000 customers in the Netherlands and Belgium.

What it does. Work orders with an hour timer, material registration with margin insight, before and after photos, and a signature stored with timestamp and IP address. Offline works, with a caveat: orders already on the device remain usable, but fetching new orders and sending back completed ones requires a connection.

Pros: a long list of integrations, including Exact Online, Yuki, Teamleader and Bouwsoft, which matters for Belgian construction companies. Cons: each integration costs extra, and features such as quotes, forms and calculation are paid extras. Annual or quarterly contract, no monthly cancellation.

Pricing model: per user per month in different packages, billed annually, with integrations and extra features paid separately. Fourteen days free.

Teamleader Focus

Suits SMEs that are not looking for a standalone work order app, but for one platform for CRM, quotes, projects, time tracking and invoicing. Belgian in origin, now also part of Visma.

What it does. Time tracking with a start/stop button is included in every package. Work orders are a paid booster: working hours, materials, kilometres, photos, signature on location, and from work order to invoice in two clicks. Two-way accounting connector with Exact Online, Yuki and Octopus, and Peppol built in.

Pros: for those who want their entire administration in one package, with the second user free and a 50 percent discount from the sixth. Cons: offline operation is not mentioned. Work orders are a paid extra on top of the package. And it is first and foremost business software: if you are only looking for work orders and hours, you also get CRM and quotes you may not need.

Pricing model: per user per month via a calculator on the site, with work orders and the accounting connector as paid extras. Fourteen days free.

TimeChimp

Suits companies where accurate project hours are the main need: hours per employee, per project, per customer, with approval and invoicing. Dutch, also Visma.

What it does. Time tracking, project planning, leave, trips, expenses, quotes and invoices. Integrations with Exact Online, Billit, Snelstart, Twinfield and the Dutch payroll packages Nmbrs and Loket.

Pros: simple and cheap if you only want hours, with a free AI integration. Cons: no work orders and no digital signature, and according to its own site the app needs an internet connection. Yuki, Octopus and the Belgian social secretariats are not on the integrations list. For a crew on site that is a limitation; for project hours at the office it is not.

Pricing model: per employee per month, with a fixed fee on top for the more expensive packages, billed annually. Fourteen days free.

GeoDynamics

Suits Belgian construction and installation companies that want time registration, Check-in-at-Work and vehicle tracking in one system. From Kortrijk, used daily, according to the site, by more than 4,000 Belgian companies.

What it does. Hours via smartphone, badge, time clock or automatically on the vehicle's departure and arrival. Activity registration per site, project or machine for post-calculation. Attendance registration for the RSZ/ONSS (Belgian social security office), with sites on a 1Y number and subcontractors via Limosa. Planning and leave management included.

Pros: built on Belgian legislation, with joint committees, mobility allowance and Check-in-at-Work. Integrations with Robaws, Bouwsoft, Odoo, Exact, Billit, and with SD Worx, Acerta, Partena, Securex, Liantis and just about every other social secretariat. Cons: it is a time tool, not a work order app: a customer-facing work order with signature is not included. Offline operation is not mentioned. No public prices, and trying it out goes through a demo instead of a free trial.

When does custom software from Build More fit better?

When your work order has to do more than the five above allow. Concretely, we see four triggers at construction companies:

  • Custom approval steps. A site manager who signs first, then the customer, and only then invoicing. Or different forms per project type.
  • Multiple systems that need to talk to each other. Robaws for projects, GeoDynamics for hours, Yuki for invoices, and a planning that needs all three.
  • A unique quote or work order process. Prices from your own calculations, or a work order that triggers different follow-up actions.
  • Growth. A subscription per user is cheap with five people and expensive with fifty.

That is what we built at De Greef Spoorkranen: Robaws and Timeking did not fit how rail cranes, operators and hauliers are planned per site, so we delivered one platform with zero paper work orders and invoicing straight to Billit. At ZET Wonen the crews' work orders go straight to Robaws and feed the post-calculation. At Lantis a timesheet tool replaced the email traffic, saving more than ten hours a week.

Honestly: custom software requires more analysis up front and a larger starting budget, and you make agreements about maintenance. If your process is standard, a package like Simple-Simon or OutSmart is faster and cheaper, and we will tell you so. Standard or custom: the decision rule

Count your separate systems and your exceptions. One accounting package plus one work order app: take a package, start tomorrow. Three systems that need to feed each other, approvals in multiple steps, or a work order that triggers its own follow-up actions: then a package costs you manual work in Excel every week, and custom software is the cheaper route over three years.

In doubt? Have your process assessed. Sometimes the conclusion is that Simple-Simon is enough and you are better off waiting a while before building. You will hear that from us too.

Is offline operation necessary on site?
Yes, as soon as your crews work in basements, new builds or remote areas. Simple-Simon works fully offline, OutSmart partly, and according to its own site TimeChimp does not work without a connection. During a demo, ask how the app handles duplicate registrations after syncing.
Is a digital signature on a work order legally valid?
Under the eIDAS Regulation, an electronic signature cannot be refused as evidence in the EU. Its evidential value depends on what is stored: OutSmart, for example, saves a timestamp and IP address with the signature. Where the financial stakes are high, have this checked by a lawyer.
When is custom software cheaper than a subscription?
When a package costs you manual work every week: double entry between systems, approvals outside the app, or Excel alongside the work order.
