Rules where it can, AI where it must

We automate in two flavours. For work with fixed rules, such as moving data from system A to system B, we build classic process automation: a script that does exactly the same thing every time, fast and without errors. For work where interpretation comes in, such as understanding an incoming email or reading a badly scanned invoice, we put in AI agents that read, decide and act.

In practice we mostly build combinations. An incoming invoice is read and checked by an agent, booked into your accounting package by a script and, in case of doubt, put in front of you for approval. The same pattern fits quote follow-up, mailbox triage, order processing, reporting and just about every administrative task sitting on a pile today.

Worth knowing: the agent works inside your existing tools. Your accounting package, your mailbox, your CRM and your planning all stay where they are. We build the layer that works in between.

After that we build the automation with caution baked in. Actions that move money, reach customers or change data pass an approval step first. You decide what the agent may do on its own and what waits for your go-ahead, and you can loosen the reins as trust grows.

The first weeks everything runs under close supervision. We measure how much the agent gets right, where it hesitates and where it goes wrong, and we keep sharpening until the error rate sits below that of the manual way of working.

Questions about agents & rpa

What is the difference between RPA and an AI agent?

RPA follows fixed rules and is perfect for predictable work, such as moving data between systems. An AI agent can also read, interpret and decide, which makes it suitable for work with variation, such as understanding emails or reading documents. The best result is usually a combination of both.

Which tasks can I have automated today?

Think of reading and booking invoices, sorting email and drafting replies, moving data between systems, following up quotes and putting reports together. A good rule of thumb: if someone does it every week in roughly the same way, it can probably run automatically.

What if the agent makes a mistake?

The whole setup is built around that question. Sensitive actions pass your approval first, every action is logged and in case of doubt the agent puts the file in front of a human. On top of that we measure the error rate continuously and compare it with the manual way of working.

Is this only something for large companies?

The opposite is true: the gain is biggest at SMEs. A process that costs five to ten hours a week today is often already worth automating. You need no IT department for it, because we build, monitor and maintain the system.
